Subscription Terms

Permitted Use

Data on the Dewey Platform may be used only for academic, non-commercial research. You must be doing that research as a student, staff member, faculty member or researcher of your licensed institution. Within that, you may:

• Use the data for teaching, research, conference presentations, talks and lectures

• Use the data in papers you've submitted for publication (if your subscription ends while a paper is under review, see Post-Term Use)

• Use the data to meet the requirements of research grants or non-profit publishing obligations

Work done for or on behalf of any other organization isn't covered, even if you also hold a university appointment. That includes consulting clients, companies, government agencies and other research bodies. Data accessed on Dewey can't be used for any other purpose.

Important Restrictions

• No commercial use. The data can't be used for any commercial purpose or to generate revenue.

• No sharing raw data. The raw data can't be shared, distributed or published to anyone outside your license. That includes peer reviewers, editors, journals, conference organizers and outside collaborators. It also can't go into replication packages or supplementary materials. You can publish summary insights derived from the data.

• Delete when your license ends. The data must be destroyed when your license ends. The only exception is the limited post-term right for submitted papers.

• Benchmarking stays internal. You're welcome to compare Dewey data against other sources for your own research. You can't publish or share the results of that comparison with anyone outside your license.

• Authorized users only. Only people covered by your license may access or use the data. Each person needs their own login, and credentials can't be shared.

• Cite your sources. Any publication or presentation that uses the data must credit the original data provider and Dewey Data Inc. Authors must also list their licensed institution as an affiliation. See citation requirements.

• Restricted jurisdictions. The data can't be accessed from a country or territory under comprehensive U.S. sanctions, or from any other jurisdiction Dewey lists as restricted. It also can't be accessed by anyone located in, organized under the laws of, or ordinarily resident in one. The same applies to anyone on a U.S. government restricted-party list. Exporting the data in violation of U.S. export law is also prohibited. There's no approval process for exceptions. If any of this becomes true for you or a teammate, stop using the data and email us right away.

These restrictions are strict. A breach of any of them can't be cured, and Dewey may end the agreement immediately.

Can I use AI tools (ChatGPT, Claude, Gemini, etc.) with Dewey Data?

Yes, as long as the tool's terms protect the data. Before you put any data from Dewey into an AI, machine learning or LLM service, check that the terms for the plan you're on do both of these:

1. No training. The provider, and anyone else, is barred from using your inputs or outputs to train, fine-tune or improve any model, product or service.

2. No retention. The provider may keep your inputs or outputs only as long as needed to run the service for you, and you can ask for them to be deleted.

A few things to know:

• The plan matters, not just the product. The same tool can have a consumer plan that trains on your data and an enterprise, education or API plan that doesn't. You're responsible for confirming your plan meets both conditions. Your university's approved AI tools are a good place to start.

• Data in the tool is still subject to our licenses. Data from Dewey, and anything derived from it, stays under your license while it sits in a service. That includes chat history, uploaded files, and stored memory.

• Clean up when your subscription ends. Delete data from AI tools just as you would from your laptop. The only exception is data you're allowed to keep under Post-Term Use.

• The Dewey MCP follows the same rules. Samples pulled into your AI assistant through the Dewey MCP should only go to a tool that meets both conditions.

Data Access

External collaborators

External collaborators must also be active, university-based researchers. Their ability to work with the data depends on the type of license you hold.

• Researcher: Researcher licenses can cover researchers from multiple universities. For an external collaborator to have permitted use of the data, they should be designated as a Downloader on your Project. More info: Project Roles.

• Institutional: If your access to Dewey is through an institutional subscription, external collaborators cannot access or use the raw data unless they are covered by an equivalent license. More info: LibGuide Template

Cancelling your subscription

How you cancel depends on how you subscribed.

Self-serve (you subscribed at checkout): Admins can cancel anytime on the Dewey Platform under Account → Billing.

• If you cancel on or before the non-renewal deadline shown at checkout, cancellation takes effect at the end of your current term.

• If you cancel after that deadline, it takes effect at the end of the next renewal term.

• You keep access until cancellation takes effect. Fees already paid are nonrefundable.

• For annual plans, we'll email a renewal reminder 30–60 days before your renewal date.

Signed Order Form (most institutions and procurement-based purchases): Your subscription renews automatically each year. To stop it, send Dewey written notice of non-renewal at least 90 days before the end of your current term.

When your subscription ends:

• You lose access to subscription datasets on the Dewey Platform.

• You must delete every copy of the data you accessed, including copies stored in AI tools.

• You can keep data only for a paper that qualifies for Post-Term Use. The paper must have been submitted and marked Submitted on the Dewey Platform on or before your last day.

• If you're on a research team, these obligations apply to your collaborators too.

Post-Term Use

Dewey understands the research lifecycle is long, and oftentimes, you’ll need to retain a copy of the data for multiple years to publish a paper successfully. For more information, visit our Post-Term Use and Replication Requirements page.
